Client Overview
A US-based nonprofit physicians association running fundraising campaigns, membership programs, medical missions, and grant-funded projects across multiple regions reached out to ProvidusCRM.
Their operations had grown across fundraising, membership, marketing, finance, and program platforms. However, those platforms were not operating as one connected system. They required a single Salesforce Nonprofit Cloud environment that could act as the source of truth across every function.

Challenge
Their fundraising was fragmented across Stripe, PayPal, ACH, offline donations, community fundraising, checks, cash, pledges, grants, LaunchGood, and GlobalGiving. As a result, reconciliation and fund allocation required significant manual work. Restricted and unrestricted funds were also difficult to track systematically.
Their membership sat across two CRMs, NEON and Zoho. So, members often existed in both systems, which caused duplicate records, double charging, and inconsistent membership status. This was also a governance risk because full-member status determined election eligibility.
Additionally, their marketing operated across the website, GiveWP, Klaviyo, Meta, and Google Analytics. Donor lists still flowed through Excel before reaching Klaviyo. Their grants and programs also relied on Google Docs, email, and spreadsheets, with 10 to 12 people involved in every grant cycle.

Solution
Our team implemented Salesforce Nonprofit Cloud as the central record for donors, members, campaigns, programs, and grants. We integrated their fundraising platforms, including Stripe, PayPal, GiveWP, and LaunchGood, into the constituent record.
We consolidated their membership from NEON and Zoho into Salesforce and connected JoinIt as the membership source system. So, the three membership tiers, Full, Associate, and Affiliate, now sit inside a single membership model with eligibility, dues, and renewal logic.
We also built a Klaviyo integration that syncs donor and member segments directly from Salesforce. Additionally, we designed a fund and allocation model that links donations to programs and separates restricted funds from unrestricted funds. Their grants moved from Google Docs and shared drives into a structured Salesforce grant lifecycle.
