A UK-registered Islamic education charity reached out to ProvidusCRM. The charity runs schools, orphan sponsorship programs, and emergency education projects across 9 countries.
Their programs support over 100,000 students and more than 400 schools. Their reach spans Pakistan, Bangladesh, Lebanon, Gaza, Yemen, Ethiopia, and other regions. However, their donor data sat across several disconnected tools.
So, they required a single Salesforce environment to consolidate donor records and streamline fundraising operations. Additionally, sponsors needed direct visibility into the orphans and programs they supported.

Challenge
Their donor data lived across their WordPress donation platform, a legacy fundraising database, and their email marketing tool. As a result, the fundraising team could not build accurate donor segments across religious giving categories. This included Zakat, Sadaqah, Lillah, and General donations. Additionally, the team often duplicated outreach because no single system held the complete donor record.
Their offline donations added another layer of complexity. Their staff manually entered donations from mosque collections, events, phone, and post into spreadsheets. So, entry was slow, error-prone, and often missed appeal or country attribution.
Additionally, their orphan sponsors had limited visibility into the children they supported. The team sent sponsorship updates through email. So, sponsors could not easily view sponsored orphan profiles, sponsorship duration, or renewal dates in one place. Gift Aid processing also required manual reconciliation before each HMRC claim cycle.

Solution
Our team implemented Salesforce NPSP as the central donor and sponsorship record. We consolidated their donor data from the WordPress platform, legacy fundraising database, and marketing tool into a unified constituent model. Additionally, we configured NPSP General Accounting Units for religious giving categories, including Zakat, Sadaqah, Lillah, and General donations. We then set up appeal-specific funds for programs across mobile schools, floating schools, orphan sponsorship, and emergency education.
We then built a custom Donation Wizard using Lightning Web Components. So, their fundraising staff could enter offline donations through a guided flow. The wizard captured donor, appeal, country allocation, religious giving category, and payment details in a single workflow. Additionally, Flow-based automation handled donation acknowledgements, recurring payment reminders, sponsorship renewal alerts, and Gift Aid declaration capture for UK-taxpayer donors.
After that, we implemented Marketing Cloud for donor journeys segmented by giving category, appeal history, and sponsorship status. We then launched an Experience Cloud sponsor portal on Customer Community Plus licences. Sponsors can now log in securely to view sponsored orphan profiles, sponsorship history, renewal options, and impact updates from the field. Real-time dashboards also gave leadership visibility into fundraising performance by country, appeal, and religious giving category.
